Event and Activity Requests

Important Event Info

Firmspace is not a formal event venue. Hosts should be aware of the following so every event is compliant and successful.

Available space: Event and activity space is the reception lobby area of the floor. To preserve the privacy and productivity we owe our members, events are not permitted within the secure part of the floor. An in-person visit to preview the space is highly recommended before signing a Space Use Agreement.
Drop-in potential: Firmspace cannot prevent its members from attending events held in the lobby.
Space Use Agreement: Once your proposed event or activity is approved, we will issue a Space Use Agreement. It must be signed by a host who is legally authorized to enter a binding contract before the event is secured.
Security deposit: Due within 2 business days of signing the Space Use Agreement. The booking is not secured until the deposit is paid in full. If it is unpaid, the space may be released to others regardless of a signed agreement.
Event fees: All events and activities, whether public or member hosted, are subject to event fees, which are listed on the Event Request Form. Set-up and clean-up time are billable. All fees must be paid in full before the event date. Events without full payment may be cancelled at Firmspace's discretion.
Event logistics: Firmspace does not provide event planning or support services. Hosts are responsible for planning and running the entire event, including clean-up, without Firmspace assistance.
Firmspace staff presence: Required when an event involves outside (non-member) guests or vendors, for liability reasons. Events are therefore subject to Firmspace staff availability.
Event finalizations: Plans require pre-approval by Firmspace and should be shared as they develop, with finalized plans presented at least 10 days before the event.
RSVPs: Firmspace is located in a secure building and floor. A full attendee list must be provided 48 hours before the event. It is shared with building security for floor access and guest check-in.
A/V and technology: Firmspace is not responsible for A/V or technology issues during any event or activity. No refunds or compensation will be provided if issues arise.
Alcohol: Firmspace is not a formal event venue and does not hold a liquor license. If alcohol is served, hosts must hire a state-certified bartender who can provide proof of TIPS or state certification and a certificate of insurance (COI).
Vendors: Must supply a valid COI and, in some cases, Workers' Comp coverage that meets building requirements. Vendors may also need to sign a Space Use Agreement to cover outstanding liabilities.
Damages: Hosts are responsible for any damage caused by themselves, their event team, guests or vendors.
Parking: Firmspace does not provide parking for event teams, vendors or guests. Options in the building or nearby are available for hosts and guests to arrange themselves.
Guests: Guests are not permitted in the secure part of the floor unless accompanied by a registered Firmspace member or a Firmspace employee.
